What Syncs is
Syncs (saplingsync.com) is a briefing tool for managers: it reads the meetings and messages you connect, keeps one living list of commitments per person, and briefs you before each 1:1. It is operated by Sapling. Questions about this policy go to dilan@saplingsync.com.
What we collect
Account data. Your name, email address, and profile picture when you sign up or sign in with Google.
Connected integrations — only what you connect, only what's needed. Google Calendar (read-only: event titles, times, and attendees, used to detect your 1:1s and upcoming meetings — Syncs never edits your calendar), Google Docs (read-only, and only the documents you pick — never the rest of your Drive), Gmail or Outlook mail (read-only, and only the email you exchanged with the people you track — Syncs never sends or deletes mail), Slack (the direct-message conversations you explicitly choose, and the ability to DM you your briefing), meeting recorders such as Granola, Fathom and Zoom (transcripts of your recorded calls), Notion (the documents you link), and work trackers such as monday.com, Linear, Asana and GitHub (the boards and projects you choose). Each is a separate connection you grant on its own. Disconnecting an integration stops all collection from it.
Content you create. Notes, agenda items, and edits you make inside Syncs.
How we use it
Data is used for one purpose: producing your briefings and keeping your per-person pages current. Meeting and message content is processed by an AI model (Anthropic's Claude) to extract commitments and context; that content is not used to train AI models. We do not sell your data, show ads, or share your content with third parties beyond the service providers that host and power Syncs (Google Cloud / Firebase for hosting, Supabase for the database, Anthropic for AI processing, Resend for email, Langfuse for AI quality monitoring).
AI quality monitoring. To check that briefings and other AI output are useful, Syncs sends records of its AI requests to Langfuse, a monitoring service, which stores them in the United States. By default a record is usage information only — which feature ran, the AI model, timing, size, and cost, tagged with an internal account ID rather than your name or email — plus the ratings you give Syncs' output. The text of prompts, AI output, and any note you add to a rating is sent only for accounts that have agreed to it.
Google user data — Limited Use
Syncs' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google data — your calendar events and, if you connect them, the documents you pick and the email you exchanged with the people you track — is read only to detect and brief your meetings, is never transferred to third parties except as necessary to provide the feature, is never used for advertising or to train AI models, and is never read by humans except with your explicit consent, for security, or to comply with law.
Who can see your data
Inside Syncs, your briefings are visible only to you. Items you mark private never leave your view, and nothing is shared with a report or teammate unless you explicitly share it. If your account has agreed to share the text of its AI requests for quality monitoring (above), the Sapling team can read that text.
Storage, security, and retention
Data is stored with access controls that scope every record to its owner, and encrypted in transit and at rest by our hosting providers. Integration tokens go further: they are encrypted at the application layer, with a key that is not stored in the database, and are used only server-side — a copy of the database on its own holds no usable credential. We keep your data while your account is active; disconnecting an integration or deleting your account removes the associated data.
You can export or delete everything yourself, from Settings → Account. Export gives you one file containing everything Syncs holds for you — your people, items, meetings and transcripts, briefings, chats and documents — with no integration tokens in it. Delete removes all of it immediately and permanently, revokes every connected tool's access, and ends access for anyone you invited to their own page; we keep no copy and there is nothing to restore from. Questions either way go to dilan@saplingsync.com.
Changes
If this policy changes materially, we will update this page and the date above. Continued use of Syncs after a change means you accept the updated policy.
